Privacy Policy
Introduction & Scope
This Privacy Policy explains how Montara Marketing LLC, doing business as Montara Automation ("Montara," "we," "us," or "our"), collects, uses, and shares personal information when you visit our website at montaraautomation.com (the "Site") or contact us to learn about our automation services. We are a US-based, founder-led company that builds custom automation systems for small businesses. This policy applies to information collected through the Site and when you book a call or otherwise communicate with us. It does not cover any third-party website you may reach through a link from our Site. By using the Site, you agree to the practices described here.
What Personal Information We Collect
We keep data collection to a minimum. We do not sell products on the Site, host user accounts, or process payments on the Site. We collect:
1) Information you give us through our booking tool. We use an embedded Calendly scheduling widget to let you book a call. When you book, Calendly collects the information you enter, which typically includes your name, email address, company name, the date/time you select, and any message or details you choose to provide. This information is shared with us so we can prepare for and hold the call.
2) Information you send us directly. If you email us at hello@montaraautomation.com or otherwise reach out, we receive your email address, name, and whatever you choose to include in your message.
3) Analytics and usage data. We do not currently use third-party website analytics. If we add an analytics tool in the future, we will update this policy to name the provider and describe what it collects.
4) Server logs. Our hosting provider Netlify may automatically record standard technical log information, such as IP address, browser type, and the date/time of requests, for security and reliability.
5) Cookies and similar technologies. The Site and the tools embedded in it may set cookies or similar technologies. See the "Cookies and Tracking Technologies" section below.
We do not intentionally collect sensitive personal information (such as government IDs, financial account numbers, health, or biometric data) through the Site.
How and Why We Use Your Information
We use the information described above to:
- Schedule, prepare for, and conduct calls or meetings you request;
- Respond to your inquiries and provide information about our automation services;
- Send you follow-up communications related to your inquiry or engagement;
- Operate, maintain, secure, and improve the Site;
- Understand general usage trends through analytics; and
- Comply with our legal obligations and enforce our agreements.
We do not use the information for automated decision-making that produces legal or similarly significant effects about you. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
How We Share Information (Third Parties)
We share personal information only as needed to operate our business, and only with the categories of recipients below:
- Scheduling provider — Calendly. Bookings are collected and processed through Calendly, which acts as our service provider/processor for that data. Calendly's handling of the data is governed by its own privacy notice and data processing terms.
- Analytics provider — we do not currently use one.
- Hosting provider — Netlify. Hosts the Site and generates server logs.
- Email and communication tools — the service that hosts our business email, used to receive and send messages with you.
- Professional advisors and service providers. Such as accountants, lawyers, or contractors who help run our business, under confidentiality obligations.
- Legal and safety. We may disclose information if required by law, legal process, or government request, or to protect our rights, users, or the public.
- Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
We do not sell or rent your personal information to third parties, and we do not share it for cross-context behavioral advertising as those terms are defined under California law.
Cookies and Tracking Technologies
Cookies are small files stored on your device. The Site and the tools embedded in it (such as the Calendly widget and any analytics tool) may use cookies or similar technologies to make the Site work, remember preferences, and measure usage. The Site sets only essential cookies and any cookies set by the embedded Calendly widget; we do not use advertising or analytics cookies.
You can usually set your browser to refuse some or all cookies or to alert you when a cookie is set. If you block cookies, some parts of the Site may not function properly. We do not currently display a cookie banner; if you operate in a region that requires consent before setting non-essential cookies, consult your attorney about adding one.
Do Not Track / CalOPPA
Some browsers offer a "Do Not Track" (DNT) signal. There is no industry-standard way to respond to DNT signals, so the Site does not respond to them at this time. As required by the California Online Privacy Protection Act (CalOPPA), this section discloses that practice. We also do not knowingly allow third parties to collect personally identifiable information about your online activities over time and across different websites when you use our Site, other than the standard analytics described in this policy.
Data Retention
We keep personal information only as long as we need it for the purposes described in this policy, and as required to meet our legal, accounting, or reporting obligations. As a general guide:
- Booking and inquiry information: kept for 24 months after our last interaction, unless you ask us to delete it sooner.
- Client engagement records: kept for the length of the engagement plus 7 years for tax and legal purposes.
- Analytics and server log data: retained according to the settings and defaults of our analytics and hosting providers.
When we no longer need the information, we delete it or de-identify it. Data held by Calendly, our analytics provider, or our hosting provider is also subject to their retention practices.
Data Security
We take reasonable steps to protect personal information, including relying on reputable service providers (such as Calendly and Netlify) that encrypt data in transit and at rest, limiting access to information on a need-to-know basis, and using secure accounts and passwords. However, no website or method of transmission over the internet is completely secure, and we cannot guarantee absolute security. You share information with us at your own risk.
Your Privacy Rights — California (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), may give you the following rights, subject to certain exceptions:
- Right to know the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of third parties we share it with;
- Right to delete personal information we have collected from you;
- Right to correct inaccurate personal information;
- Right to opt out of the "sale" or "sharing" of personal information (note: we do not sell or share your personal information as those terms are defined under the CCPA);
- Right to limit the use of sensitive personal information (note: we do not collect sensitive personal information through the Site); and
- Right not to receive discriminatory treatment for exercising these rights.
To exercise these rights, email us at hello@montaraautomation.com. We will verify your request by confirming that the request comes from the email address associated with the information (for example, by asking you to reply from that address) before responding. You may use an authorized agent to submit a request on your behalf. We do not knowingly sell or share the personal information of consumers, including minors under 16. Note: many small businesses fall below the CCPA's applicability thresholds — confirm with your attorney whether the CCPA legally applies to your business; this section is provided so that California visitors understand how to reach you regardless.
Your Privacy Rights — EU/UK Visitors (GDPR Basics)
Our Site is intended for US small-business owners, and we do not target individuals in the European Economic Area (EEA) or the United Kingdom. If you nonetheless contact us from the EEA or UK, the following applies. Our legal bases for processing your information are: (a) your consent (for example, when you book a call); (b) our legitimate interests in responding to your inquiry and operating our business; and (c) compliance with legal obligations. You may have the right to access, correct, delete, restrict, or object to our processing of your personal data, and to data portability. You also have the right to withdraw consent and to lodge a complaint with your local data protection authority. To exercise these rights, contact us at hello@montaraautomation.com. If your data is transferred to the US, our service providers (such as Calendly) rely on mechanisms like the EU-US Data Privacy Framework and Standard Contractual Clauses.
Children's Privacy
The Site is not directed to children, and we do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us personal information, please contact us at hello@montaraautomation.com and we will delete it.
Third-Party Links and Services
The Site may link to or embed third-party services (such as Calendly). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies, including Calendly's privacy notice, before providing information through their tools.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date below and post the new version on this page. If we make material changes, we will take reasonable steps to notify you. We will review and, if needed, update this policy at least once every 12 months. Your continued use of the Site after an update means you accept the revised policy.
